Outturn reads the files and mail your systems already produce. Nothing is replaced and nothing is written back to your systems. Start with the quick start for your source: do one thing, check what you see, go on.

Quick start
One action per step. After each step you see what should be on your screen, and what to do if it is not.
TOS (terminal operating system)
Your container or cargo terminal system: gate, yard, vessel and storage records.
Your TOS→Report as CSV or Excel→Outturn: Data imports→Findings in AI control workers

Step 1. Do: In your TOS, open the report or query that lists container or wagon moves (or the gate and storage report your terminal already uses).
You should now see: A table with one row per move or visit: container or wagon number, time in, time out, weight, customer.
If not: If you cannot find such a report, ask your TOS administrator for a scheduled CSV export of container or wagon moves with: id, in and out time, weights, customer, storage days.

Step 2. Do: Click Export (or Save as) and choose CSV or Excel. Save the file on your computer.
You should now see: A .csv or .xlsx file is on your computer and opens in Excel with the same columns.
If not: If the TOS only offers PDF or print, ask your TOS administrator for the same report as CSV or Excel. A PDF is not read as a table.

Step 3. Do: In Outturn, click Data imports in the left menu.
You should now see: You see the page with the steps 1. Upload, 2. Map columns, 3. Validate & quarantine, 4. Confirmed.
If not: If there is no Data imports in the menu, your role may not upload files: ask your Outturn administrator to give you the upload permission (ingest:upload).

You should now see: The file name and size appear, a Source preview shows the first rows, and 2. Map columns (auto-mapping with confidence) lists each of your columns next to an Outturn field.
If not: If it says "Duplicate of an existing import", this exact file was already loaded: nothing more to do. If the file is refused, save it as .csv or .xlsx (up to 25 MB).

Step 5. Do: Look at the matches, then click Validate mapping.
You should now see: 3. Validate & quarantine shows how many rows are OK and how many were held back.
If not: If a column shows "- unmapped -" and you need it, pick its Outturn field from the list. Held-back rows can be corrected on the same page; they are never written until fixed.

Step 6. Do: Click Confirm import.
You should now see: 4. Confirmed says how many ledger facts were written and that a rule run started.
If not: If you see a red error instead, nothing was written. Read the message, fix the file or the mapping and click again.

Step 7. Do: Click AI control workers in the left menu (or Command Center).
You should now see: Findings appear for the checks whose inputs are in your file (see Minimum data). For example unbilled storage days or a gate visit without a weighbridge ticket.
If not: If there are no findings, the data may be clean, or the file lacks inputs a check needs. Compare your columns with the Minimum data table below.
1C or another ERP
Your accounting or stock system: stock movements, invoices, work orders.
Your 1C / ERP→Excel export of stock movements→Outturn: Data imports→Stock and billing findings

Step 1. Do: In 1C, open the stock movements (or turnover) report for a period, for example the last month.
You should now see: A table with date, document, counterparty, commodity, warehouse, lot, receipt and issue in tonnes.
If not: If a column is missing, ask your 1C administrator to add it to the report: Outturn has a ready template with exactly these columns.

Step 2. Do: Use the 1C command to save the report as Excel (.xlsx) or CSV.
You should now see: An .xlsx or .csv file is on your computer with the same columns.
If not: If the export button is missing, ask your 1C administrator to enable the export of this report to Excel.

Step 7. Do: Click AI control workers in the left menu (or Command Center).
You should now see: Stock checks (for example stock roll-forward and stock never negative) run on the new movements and show findings if they find a difference.
If not: If there are no findings, the stock may be consistent, or survey and adjustment values are missing. See Minimum data, Stock.
Weighbridge
The scale program that issues weighing tickets for trucks and wagons.

Step 1. Do: In the weighbridge program, open the list of tickets for a period and choose export (CSV or Excel).
You should now see: A table with one row per ticket: ticket number, plate, gross, tare, net, time of weighing.
If not: If your program cannot export, ask its supplier for a ticket list export; a copy of the list pasted into Excel and saved as .xlsx also works for a first test.

If not: If the weights are in tonnes, not kilograms, tell your IT person: the template expects kilograms (Gross kg, Tare kg, Net kg).

Step 1. Do: In the lab system (or the Excel sheet the lab keeps), open the list of results for a period.
You should now see: One row per sample: sample id, the weighing ticket or lot it belongs to, moisture percent, time of the result.
If not: If the sample is not linked to a ticket number, ask the lab to add the ticket number column: without it a result cannot be tied to a delivery.

If not: If the lab only has paper results, use Paper capture in the left menu instead of this guide.

Rail desk and carrier invoices
Wagon lists, arrival notices and the carrier's weekly wagon-use statement.

Step 1. Do: From the carrier portal or your rail desk, download the wagon list or the carrier statement as Excel.
You should now see: A table with wagon number, waybill, waybill weight, arrival time, and for a statement the invoiced hours.
If not: If the carrier sends the statement by e-mail, save the attachment on your computer. If it is a PDF, ask the carrier for the Excel or XML version.

Step 2. Do: Save the file on your computer. Load the wagon list first, then the statement.
You should now see: Two files, or one file with both kinds of rows, that open in Excel.
If not: If you only have the statement, load it anyway: findings that need the wagon list stay empty until you load it.

A department mailbox that receives files from carriers, customs brokers or agents.

You should now see: The file is in your Downloads folder.

Excel add-in
Send a working sheet to Outturn without exporting a file, from Excel on the web or the desktop app.
Your Excel sheet→Outturn add-in task pane→Send now→Findings in Outturn

Step 1. Do: In Outturn open Settings, then Excel add-in, and click Download add-in manifest.
You should now see: A file called outturn-addin-manifest.xml is saved on your computer.
If not: If you cannot find the page, it is under Settings in the left menu. The file is also at https://outturn.eu/addin/manifest.xml.

Step 2. Do: Open Excel on the web, then Insert, Add-ins, My Add-ins, Upload My Add-in, and choose the file.
You should now see: An Outturn button appears on the Home tab of Excel.
If not: If Upload My Add-in is missing, your Microsoft 365 set-up may not allow it: ask your Microsoft 365 administrator to deploy the add-in for everyone (Settings, Excel add-in shows the admin steps).

Step 3. Do: Click the Outturn button on the Home tab, then sign in with your Outturn account.
You should now see: The task pane shows four tabs: Connect sheet, Validate, Send to Outturn, Get from Outturn.
If not: If sign-in fails, check the company, e-mail and password; enter the authenticator code if asked.

Step 4. Do: Select your table including the header row, open Connect sheet, click Use current selection, choose Department and Send as, click Suggest column mapping, then Save connection.
You should now see: The message "Sheet connected. You can now validate and send."
If not: If a required column is not matched, choose the Outturn field next to your column and save again.

Step 5. Do: Open Validate and click Check this sheet, then open Send to Outturn and click Send now.
You should now see: "Confirmed: N fact(s) written, rule run started." Bad numbers are highlighted in the sheet before sending.
If not: If the result says rows were quarantined, fix the highlighted cells and send again; only new or changed rows are sent.
Edge agent
A small program on a computer inside your network that sends new files from a folder to Outturn.
Export folder on your PC→Edge agent (outbound only)→Outturn→Findings

Step 1. Do: In Outturn click Integrations, then Edge Agents. Type an Agent name, for example Warehouse office server, and click Enrol new agent.
You should now see: An enrolment code appears, shown once and valid for 24 hours. Copy it now.
If not: If the button is missing, only the IT administrator or an executive may enrol agents: ask them.

Step 2. Do: Give the code to your IT person. On the computer inside your network they install the agent and run its enrol command with the code.
You should now see: The agent creates its own signing key on that computer and registers itself.
If not: The agent is not yet published as a download or installer: Outturn supplies it on request (see the IT notes). Do not enrol a code you cannot use within 24 hours.

Step 3. Do: In Outturn open Integrations, Edge Agents again and look at Enrolled agents.
You should now see: Your agent is listed with its version and a recent Last heartbeat.
If not: If there is no recent heartbeat, ask IT whether the computer is on and can reach https://outturn.eu (outbound HTTPS only).

Step 4. Do: Click New connection, and in step 2 choose Folder drop (SFTP) and your Edge Agent.
You should now see: After Test connection passes, files that appear in the watched folder arrive in Outturn by themselves.
If not: If the test fails, check that the folder path in the agent configuration is the one the export writes to.
After your first finding: make it automatic
A first file by hand proves that your data works. To get a new file every hour or day without touching it, set up a connection once. Your IT person can do this with you.

Click Integrations in the left menu, then New connection.
You should now see: A wizard with eight steps opens: Choose source, Connect, Sample, Auto-mapping, Confirm mapping, Verify, Schedule, Approve & go live.
If not: If New connection is missing, you need the integration permission for the department: ask your administrator.

In step 1, choose the template that matches your system, type a Connection name and choose the Owning department.
You should now see: The next step offers the connector types that template supports.
If not: If none matches, choose Other and pick the connector type yourself in the next step.

In step 2, choose how the file arrives (File upload, Folder drop (SFTP), or an Edge Agent for files inside your network) and click Test connection.
You should now see: The test passes and you can continue.
If not: If the test fails, the page says why (for example a wrong folder or a host key that does not match). Ask IT to correct it and test again; you cannot continue before the test passes.

Click Suggest mapping, check it, click Continue, then Run verification.
You should now see: Seven verification checks, each with the measured and the expected value.
If not: If a check fails, open it: it names the column or total that does not match. Fix the mapping or the export and run again.

In steps 7 and 8, choose how often to fetch, then let two different people click Approve (technical) and Approve (business), then Go live.
You should now see: The connection status becomes LIVE and the Integrations page shows its last success time.
If not: If the second approval is refused, it must be a different person than the first and not someone who invited you or whom you invited.
Minimum data to see your first finding
A check can only find a difference if its inputs are in the data. This list is taken from the inputs of the checks in the engine.
Wagon, container, IMO and plate numbers written as they are in the source: Outturn checks their check digits and finds duplicates
Rates, free days and tolerances are not in your files: they come from Settings, Contracts, tariffs & tolerances. A value marked as an assumption there is a placeholder until you enter your real contract figure. Column names in English, Lithuanian and Russian are matched automatically; you confirm the match before anything is written.
Detailed guide for your IT person
Technical notes per source. The quick start above is enough for a first file.
TOS (terminal operating system) (For IT)
Generic route: schedule the TOS report to export CSV or Excel into a folder or to an SFTP server. Outturn reads it by a Folder drop connection (SFTP settings kind: Host, Port, User, Remote folder and the server host-key fingerprint, with the private key saved once and encrypted) or by an Edge agent that watches a folder inside your network.
Fields to include per check family: container or wagon id, in and out timestamps (with time zone), gross, tare and net weight, customer or payer, storage start and storage days if the TOS computes them. See Minimum data.
Outturn does not connect to the TOS database and does not write to the TOS. An EDIFACT container event file (.edi or .txt) can also be uploaded.
A read-only database view can be read through the Edge agent (see Edge agent). PostgreSQL is tested end to end; SQL Server, MySQL, MariaDB and Oracle only at the driver level.
Vendor notes are in the table at the end of this page. Where no official public page is cited there, ask your TOS admin for a scheduled CSV export of the fields above.
1C or another ERP (For IT)
Ask for a scheduled export of stock movements (XLSX or CSV) with the columns Date, Document, Counterparty, Commodity, Warehouse, Lot, Receipt t, Issue t. Outturn has the template "1C / ERP stock ledger export (XLSX/CSV)". Column names in English, Lithuanian and Russian are recognised.
Deliver the file by upload, by a shared folder (Folder drop) or SFTP, or through an Edge agent. Use a 1C turnover report of the same day as the control total in the verification step.
Never give Outturn access to 1C's internal tables. If the connection wizard offers an API connector type for your system in step 2, you can use it instead of exports; the export route always works.
Invoices as Peppol or Lithuanian i.SAF XML files are recognised on upload.
Weighbridge (For IT)
Template "Weighbridge ticket export (CSV/XLSX)": Ticket, Plate, Gross kg, Tare kg, Net kg, Weighed at. Confirm the columns on a real export.
Delivery: file upload, Folder drop or SFTP, e-mail inbox, or an Edge agent on the weighbridge PC watching the export folder.
Add the scale identifier and, for tare checks, the trailer plate: the checks use them (see Minimum data).
Laboratory (For IT)
Lab results are an upload target (lab_result). Link keys: weighing ticket number and sample id.
The moisture checks also need the contract base moisture (Settings, Contracts, tariffs & tolerances) and the weighbridge net weight of each truck.
No ready-made lab template ships yet: map the columns in the Data imports mapping step and confirm.
Rail desk and carrier invoices (For IT)
Templates: "Rail wagon list / arrival notice export" (Wagon, Waybill, Waybill kg, Arrived) and the carrier statement lines as upload target carrier_statement_line.
The wagon-hour check needs three times per train: placement, completion mark and handover of documents. The handover time comes from the wagon delivery/removal sheet upload.
Delivery: upload, Folder drop or SFTP, e-mail inbox, or an Edge agent. Carrier APIs are by agreement and not self-service.
Mailbox (For IT)
Today the safe self-service route is: save the attachment and upload it (the steps above). Outturn then runs the same checks.
Reading a mailbox automatically: open the department workspace, Mail, tab Connections, and add a mailbox (IMAP with an app password, Microsoft 365 with Connect Microsoft, Gmail with Connect Google, read-only). Press Test connection, then Activate, and the mailbox is read on a schedule. Microsoft and Google sign-in needs the platform operator to register the sign-in apps first; until then use IMAP.
Forwarding: IT forwards the chosen senders' mail to the department's inbound address; a relay that posts it to Outturn with the signed secret (Rotate inbound secret on the Connections tab) is not part of the installation yet.
Every mail, once it reaches Outturn, goes through sender checks (SPF, DKIM, DMARC), a virus scan and identifier matching; it appears in the department Mail queue as Matched, Needs review, Unmatched or Quarantined.
Excel add-in (For IT)
Manifest: https://outturn.eu/addin/manifest.xml (already resolved for the host). It validates with Microsoft's official validator (office-addin-manifest validate): see make addin-validate.
Everyone at once: Microsoft 365 admin centre, Settings, Integrated apps, Upload custom apps, upload the manifest, assign users or the whole organisation.
Each sign-in is its own named device; revoke it under Settings, Excel add-in, Signed-in devices.
Every send goes through the same import, validation and confirmation as an uploaded file.
Edge agent (For IT)
The agent only makes outbound connections; no inbound firewall port is opened. It watches folders, keeps an encrypted local queue, uploads signed batches (SHA-256 checked, duplicates ignored) and sends a heartbeat.
Install: download the package under Integrations, Edge Agents (compare its SHA-256 with the one shown), unpack it and run the installer for Linux (install-linux.sh) or Windows (install-windows.ps1); or build the Docker image from the Outturn repository (connector/Dockerfile.edge-agent). There is no signed Windows installer and no automatic update yet.
Database view: in New connection choose Database view (via Edge Agent), pick the agent and give one SELECT query; the agent refuses anything else. See docs/system/runbooks/edge-agent.md for the full runbook.
Vendor notes
Checked on 2026-10-03. We cite only official public pages. We did not find a public official page describing scheduled report exports for Navis N4 or CyberLogitec OPUS, so we make no claim about them: ask your TOS administrator for a scheduled CSV export of the fields in the table for TOS.
