Missing document control for ports and logistics

Last reviewed:

Outturn's Missing Document worker finds the document, reference or link that one system expects and another lacks, so the gap is closed before it costs a claim or a delayed truck. Examples: a weighbridge ticket for a gate visit, a lab result before tipping, an eFTI field, an ENS or transit reference.

The problem in one sentence

Each system is complete about itself; the gap only shows when you put two of them side by side, usually when a claim, an audit or a customs officer asks for the paper.

What the worker checks

CheckWhat one system has that another lacks
GATE-08A gate visit without a matching weighbridge ticket
GATE-09A weighbridge ticket without a matching gate visit
LAB-01A truck tipped before the lab sample or result existed
INT-01Broken or malformed identifiers (wagon, plate, lot)
INT-05Duplicate identifiers or gaps between cross-referenced lists
INT-06Outbound consignment with an incomplete eFTI data set (lists the missing elements)
CUS-10Export without exit closure (open export MRN), with thresholds you configure
CUS-12Goods in temporary storage without an ENS or transit reference
STK-05Origin lineage broken through blending

Example finding

Example — synthetic data, invented for illustration. Not a customer result.

Outbound load CMR-2026-000902 to Germany. INT-06 lists three missing eFTI data elements: consignor address, consignee address and trailer registration country. The case goes to the gate team with the consignment record; once the master data is completed, the next check run closes the case and the 2027 readiness view shows the consignment as complete.

Data you need

  • Gate visits and weighbridge tickets (GATE-08/09).
  • Lab samples and results with times (LAB-01; check during the trial that your export carries the times).
  • Consignment or CMR data and master data (addresses, vehicles) for INT-06.
  • Customs registers (temporary storage, export MRNs) for CUS-10/12.

Paper documents can be captured as photos or scans with OCR; a person confirms the extracted fields. See how Outturn connects to your systems.

How fast you can start

Gate and weighbridge exports alone are enough for the first run in the free trial. eFTI completeness starts as soon as consignment data is imported.

Honest limits

  • Outturn is not a certified eFTI platform and does not file customs declarations; the declarant does.
  • eFTI profiles are pending legal review: findings show missing data, not a legal breach.
  • CUS-10 needs thresholds configured before it gives results.

Frequently asked questions

What counts as a missing document in Outturn?
Anything one system expects and another does not have: a gate visit without a weighbridge ticket, a tipped truck without a lab sample, a broken or duplicate identifier, an outbound consignment with incomplete eFTI data, an export without exit closure, goods in temporary storage without an ENS or transit reference, or a blended lot whose origin lineage is broken.
Does Outturn check eFTI completeness?
Yes, for outbound consignments (check INT-06): it lists the missing eFTI data elements for the consignment's profile. The profiles are pending legal review, so a finding shows missing data, not a legal breach. Outturn is not a certified eFTI platform.
Why does a missing document matter financially?
Claims and disputes are lost on paperwork. In The MTM Hong Kong [2020] EWHC 700 (Comm) a demurrage claim was held time-barred because copies of the bills of lading were not provided with it.
Can Outturn read paper documents?
Yes. A photo or scan can be captured with OCR (English, Lithuanian, Russian) and classified as a CMR, weighbridge ticket, wagon list or draft survey; extracted fields carry a confidence and are confirmed by a person.
